How do I sync-up my old mail to your servers? When should I begin our migration?

Please note that we have extensive documentation on Getting Started, available to customers once signed up for service, at our online help desk. This includes email templates to send your team, discussions on migrating mail, if necessary, options and best practices. You can also see an example of migrating your own mail, in real time, at our Zimbra demo movies.

If you are not yet storing mail on a server, such as using POP accounts, then you probably don't have to worry at all about this question. This question is only for organizations that have existing mail, and possibly other data, stored on a server, that you'd like to synch to our servers. You have at least these options for syncing your old mail provider with 01.com's Zimbra services:

  1. Allow us to use IMAPsync to move your messages (free- f-charge), or use server-to-server migration tools designed to migrate from Exchange, Groupwise and Lotus Notes, for which professional services charges may apply;
  2. Use the built-in POP feature in Zimbra to POP your mail into your accounts yourself (dates are lost);
  3. Use the built-in IMAP feature in Zimbra to IMAP your mail into your accounts ;
  4. Set up a new account for your Zimbra mailbox in your mail client, and drag and drop the messages you'd like. You may find it most convenient to move your old messages to local storage, on your computer first, thus take them all off of your old mail server prior to pointing your new inbox to your your new account on one of our Zimbra servers;
  5. If you're using Outlook, you can use the Zimbra Outlook import tool;
  6. If you're coming from another compatible version of Zimbra, we may be able to import a back-up of your accounts.

Let us know what you'd like to do. Please note that IMAPsync can take days. For larger organizations, we can plan and help implement customized migrations, including project management and both on-premise and remote training.

We recommend that you start migrations after your office hours, typically on a Friday early evening. Because synchronization takes material resources for individual mail clients and workstations (ie: desktops and laptops), if practical when you're planning to use the desktop synchronization features of Zimbra, we also recommend you begin your individual, first desktop syncs that Saturday and Sunday, or, if not possible, then wait until Monday evening for your first desktop syncs, to provide optimal performance for the computers of your individual team members during regular business hours.

Also note that we have developed custom scripts to migrate from older, Microsoft mail servers that use, for example, NTLM.  We have also developed extensive scripts to migrate all data from iMail servers.

If you have more than 50 mailboxes to move, you may not want to move them all at once. Please read this FAQ.

Please note that when you place your order, your chosen domain is configured automatically on the 01.com servers.  Mail will not be directed to your domain on the 01.com servers until you change your MX record in your DNS.  The exception to this rule is for existing clients using the 01.com servers, including 01.com team members: for these users, the 01.com mail server will attempt delivery only to the domain installed locally.  For example, prior to switching your MX record, if you're wondering why you haven't received responses from 01.com team members, check your mailbox on the 01.com server, because our messages, sent through the 01.com servers, will be delivered there.
