What is a Mailbox in the zMailCloud?

A mailbox is an email address where one receives and through which one may send email.  Mailboxes are stored on specialized computer systems called mailbox servers.  Mailbox servers are part of the zMailCloud, formerly known as the 01.com Zimbra Cloud Hosting environment.  The zMailCloud is governed by this Agreement and SLA.  This FAQ specifically answers what is a mailbox in 01.com's zMailCloud?

Please note that many answers here do not apply to 01.com customers with their own, independent email and collaboration servers based on the Zimbra Collaboration Server software, either hosted at our data centers (aka "dedicated", "premium" or "exclusive" hosting) or otherwise at customers' premises, or a third-party data center (aka "remote maintenance", "managed services", "ServerCare" or "Extended Care").

  1. SupportBest practice is to select from one to three people from your organization to act as your point(s) of contact (POC) with 01.com.  Your POC(s) should be more technically inclined people interested in providing basic answers and troubleshooting for your team, and escalate issues as necessary to collaborate with Support.  Your POC must have a mailbox in the zMailCloud, and may request support (1) by chat (AIM/iChat name = help@01.com), (2) after login to our online help desk through our web ticketing and issue tracking system, (3) by registered email after at least one log in to our online help desk, and (4) by telephone toll-free.  Support is currently provided free-of-additional-charge by our U.S.-based team, see our Scope of service.
  2. Licensing The primary function of zMailCloud is delivering software-as-a-service (SaaS) to its customers over the internet.  For its functionality, zMailCloud primarily relies on software licensed by VMware, called the Zimbra Collaboration Server.  At this time, all zMailCloud mailboxes are licensed with the top-of-the-line Zimbra Network Professional Edition, with free access to the Zimbra Outlook Connector (ZCO), the Apple iSync Connector, J2Me Client, Zimbra Desktop, Toaster, .PST import tool software, and Zimbra Mobile (see below).  Upgrades and updates are provided with zMailCloud service free-of-additional-charge.
    1. Zimbra Mobile.  Included with Annual and Monthly term accounts.  iPhone, Windows Mobile and Palm over-the-air (OTA) sync. This sync is automatic and close to real-time ("push").  This includes support for ActiveSync devices.
    2. Zimbra Archiving & Discovery (Permanent Archives, Legal Compliance, or ZaD). Optional per mailbox.
    3. BlackberryPOP/IMAP is included free, native BES (Blackberry Enterprise Server) licensing is optional per mailbox, delivers automatic, close-to-real-time, bidirectional ("push"), over-the-air (OTA) sync for mail, contacts and calendar.
  3. Limits.  zMailCloud is designed for small and medium-sized organizations (SMB), typically between 1 and 250 team members, and averaging about 25.  If you are an organization with over 150 team members, in addition to other benefits you or 01.com sales engineer may identify, you may find it economical to consider Exclusive Hosting ("dedicated") with 01.com, or 01.com's Extended Care, remote management service for servers hosted at your own office or data center (on-premises).
    1. Number of mailboxes.  1 to 500.  You may add mailboxes at any time, independently, through your secure domain admin control panel (see video tutorials).
    2. Attachment size.  Up to 50MB for sending and receiving.
    3. Domain name(s).  One primary domain (ie: yourco.com), unmetered domain aliases per order.  At this time, billing is calculated for each order, consequently by domain only, and not yet across domains.
    4. Throttling.  As part of our comprehensive anti-spam policies, we throttle outbound mail.  To send out many hundreds or even thousands of emails in a day, login to our online help desk ticketing system to request we raise the throttling limit for any of your mailboxes temporarily or permanently.
    5. Security.  256-bit SSL for both sending and receiving (HTTPs, IMAPs, SMTPs, LDAPs).
    6. API.  Application Programmers Interface, a way for automating interactions between different software securely across the internet.  Every mailbox is available securely via Zimbra's SOAP and REST API, for integration.
    7. Number of people.  It is expected that each mailbox will only be used by one person.  See Fair Use, section 19. in our Agreement.
    8. Number of software-clients and devices.  Each mailbox may be accessed by many different software clients and devices at the same, and close to the same time.  For example, you may use the software-client Outlook at the office, a Mac at home, a Blackberry on the road, sometimes an iPod Touch, and when none are accessible, login securely through the web.  With a zMailCloud mailbox, on all of these software-clients and devices, your email, calendar and contacts may be synchronized over-the-air.
    9. Requirements.  Please see our public FAQ: zMailCloud requirements.
  4. Usage.  Each mailbox has a size reported by zMailCloud in gigabytes (GB) of the total electronic data it stores at any one time.  The total size of a mailbox at a time of Reporting is known as mailbox or archive Usage, because it's how much data is used by that particular mailbox.
    1. Dynamic.  The size of each mailbox usually varies over any given period based on, for example, the email messages deleted and received, and associated attachments. 
    2. Measurement.  The size of a mailbox includes all email viewable in any folder, attachments, calendars, contacts, tasks, documents, briefcases, files, and other information directly associated with a mailbox and its user.  
    3. Retention.  Email and data in your mailboxes are set to remain there until you cause them to be deleted, except for the messages in the Trash and Junk directories.  That is, the default email message lifetime is unlimited, except for messages in the Trash and Junk folders, for which it is 30 days.  You may submit a request to personalize this setting for your organization or for a particular mailbox.
    4. Backup data.  Provided free-of-additional-charge, backup data is not included in Usage measurements and reporting. When you create a new mailbox it enters our automated backup cycle.  zMailCloud begins both full and incremental data back ups of new mailboxes within 16 days.  These backups are intended to enable the restoration ("roll-back", "un-delete", "restore") of an entire mailbox up to 48 days in the past.  Note that these free mailbox backups may take 3 times more space than mailbox Usage alone.
    5. Bandwidth.  The transfer of data to and from zMailCloud is provided free-of-additional-charge.
  5. Quota.  Mailbox sizes are by default limited in size, restricting each mailbox's Usage.  This size-limit is known as a Quota.   
    1. Independence.  Each mailbox may have its own Quota, different or the same from any other mailbox in your domain name.
    2. Range and units of measurement.  0, or a greater, whole number.  Quotas are measured in MBs, megabytes, where there are approximately 1000 MBs in 1 GB. 
    3. 0 ("zero" or "unlimited").  The default setting for new Annual-term mailboxes and permanent archives.  When you set a quota for a mailbox to 0, you have given the mailbox no size limit.  Setting a mailbox's Quota to 0 enables the option for Usage-based pricing for that mailbox (see Reporting, below). 
    4. Changing quota.  The zMailCloud sets quotas during initial, automated account setup.  In the zMailCloud, you may change the Quota yourself at any time, depending on your account type and term, using the self-service zMailCloud administrator's control panel (see video FAQ).

    6. Behavior.  By default, when a mailbox reaches 90% or more of its Quota, the zMailCloud automatically sends a warning to the mailbox.  If a mailbox reaches 100% of its Quota, it is full and messages can no longer be received in by the mailbox, nor can you add other types of data until you either A) remove some data to make more room, or else B) raise the mailbox's Quota.  For up to 5 days zMailCloud will continue to store in-bound mail for delivery to a full mailbox, and after that time if neither option A) nor B) is taken then email will be returned to the sender.

  6. Aliases. Mailboxes may have pseudonyms called Aliases, or mailbox aliases, unlimited and provided free-of-additional-charge by zMailCloud.  For instance, if ones mailbox is called "myname@mycompany.com", one may have aliases of info@mycompany.com and sales@mycompany.com.  Aliases may only be created through the domain administrator's control panel, for domain names and domain name aliases you control, have installed on and directed email to the zMailCloud.  Aliases are only 1-to-1 mappings for email addresses in your own domain names.
  7. Personas.  Each mailbox has a primary identity, shown to recipients as the "From" address.  Mailboxes may have additional identities, called Personas, unlimited and provided free-of-additional-charge by zMailCloud. For instance, in the example above in 3. Aliases, you may create a Persona to send "From" info@mycompany.com or sales@mycompany.com.  Unlike Aliases, you may even have a Persona for domains you do not control, so that you may, for example, send "From" myname@msn.com.  This is particularly useful to centralize your email receipt and sending at zMailCloud, by forwarding from myname@msn.com, and other email addresses, so you have one place to track sent and received email.  Folders and signatures may also be associated automatically with Personas, see each user's Preferences tab.
  8. Distribution lists.  Sometimes you want to share an email, calendar, briefcase, group of contacts, document or task list with a group of other mailboxes.  Also provided free-of-additional-charge by zMailCloud, Distribution lists, also known as a mailing lists, are a group of mailboxes referred to by one email address.  For example, email sent to support@yourcompany.com may result in copies being distributed to yourname@yourcompany.com, yourcoworker@yourcompany.com, and associate@yourOutsourcedSupport.com.  Distribution lists are 1-to-many mappings of email addresses in your own domain(s) to 1 or more other email addresses in or outside of your own domain name(s).  Distribution lists may be used freely to forward email to internal or external email addresses.
  9. Reporting.  Available only to zMailCloud customers, reporting is available to users with domain admin privileges through the domain admin control panel.  Also, zMailCloud automatically generates convenient, comprehensive reports about your mailboxes.  Reporting is available by a variety of means.
    1. Self-generated Reports.  Use our Report Request Form to automatically generate a report.  **Requirement: you must have domain admin privileges for the domain about which you're requesting the report.**  The report will be generated automatically, and sent to your domain admin email address.  To prevent abuse, only one report may be generated on any one calendar day. 



    2. Invoice Preview.  On the 21st of each calendar month, if Reporting shows a balance due for the next month, zMailCloud sends a Invoice Preview to your Billing Manager contact, informing you of what your balance due may be without changes.  The purpose of the Invoice Preivew is advanced warning of pending purchases.  The Invoice Preview is sent a week in advance of the Billing Report, to provide time for you to review and make changes to your mailboxes, and prepare for the Billing Report.
    3. Billing Report.  On the 28th of each calendar month, if Reporting shows a balance due for the next month,  If the Billing Report showed a balance due for the next month, zMailCloud sends an Invoice from billing@01.com to the Billing Manager contact.  In the first few days of a calendar month in which an Invoice is due, zMailCloud automatically charges your payment method (credit card or e-check account) associated with your account in the Billing Manager.

  10. Pricing.  This is an overview of our zMailCloud Pricing.  It only covers pricing differences, and features that have a price, so the very large number of features and services included free-of-charge are, for the most part, not listed here, such as 48 days of un-delete.  Please reference our zMailCloud hosting calculator.
    1. Activation/Setup fees.  None.
    2. Available Terms.  Terms are selected during ordering, setup and installation is automated from our zMailCloud secure order form
      • zMailCloud - Pro - Annual prepaid.  First 30-days free.  If you add new mailboxes or features thereafter, new charges are prorated for the remainder of your annual term and calculated at the Billing Report on the 28th of the month, you are emailed an invoice, and charged at the beginning of the next month.
      • zMailCloud - Pro - Monthly prepaid: First 30-days free.  Month-to-month terms.  Each month new charges are calculated based on the Billing Report on the 28th of the month, you are emailed an invoice, and charged at the beginning of the next month.
        • "Closed" Mailbox Status.  There are times you may want to keep email available, even though the mailbox is no longer in use, for example, due to turn-over.  Customers with month-to-month terms may change the status of mailboxes to "Closed", which disables sending/receiving mail, but also discounts the mailbox to $2.00/month.  Mailbox storage fees still apply, if any.
    3. Mailboxes.
      • zMailCloud - Pro - Annual: $59.99/year
      • zMailCloud - Pro - Monthly: $5.99/month
    4. Features. 
      1. Storage space
        1. Quota-based (monthly-term only).  The default for new monthly-term mailboxes. If a monthly term mailbox has a Quota other than 0 or unlimited, it's subject to Quota-based pricing. The Wiki mailbox, which should not be used, is not subject to storage charges and is not considered a mailbox for the purposes of calculating space included free-of-charge. 
          1. Included free-of-charge per monthly-term mailbox: 0 GB.
          2. Pooling. Storage used by each mailbox is added together, or "pooled", and this total space is billable for monthly-term mailboxes.
          3. Rounding. For 01.com quota-based reporting, data is rounded to the nearest GB.  Rounding occurs after the storage for all mailboxes is pooled.
          4. Pricing.
            • Zimbra Cloud - Pro - Monthly: $2/GB/month
        2. Usage-based.  The default setting for annual-term mailboxes, and an option enabled per mailbox for monthly-term mailboxes by setting Quota to "0" in your domain admin control panel, aka "unlimited." The Wiki mailbox which should not be used, is not subject to storage charges and is not considered a mailbox for the purposes of calculating space included free-of-charge.  
          1. Included free-of-charge per mailbox and archive:
            • zMailCloud - Pro - Annual: 25GB
            • zMailCloud - Pro - Monthly: 0 GB
          2. Pooling (annual-term only).  The number of your usage-based mailboxes and archives is multiplied by the space Included free-of-charge per mailbox and archive to determine the Sub-total of storage space you may use without additional charge.  So for example, if you have 10 mailboxes subject to usage-based billing, you have (10 mailboxes x 25 GB space) = 250 GB space available for your mailboxes' usage.  Using your domain admin, you may enable the usage-based billing option by changing a mailbox quota to "0", also called Unlimited.
          3. Rounding.  For zMailCloud usage-based reporting, data is rounded up to the nearest 100MB (tenth of a GB). Rounding occurs after the usage for all mailboxes is calculated.
          4. Pricing. Usage-based for mailboxes and archives:
            • zMailCloud - Pro - Annual: $2/GB/month remaining in your Term
            • zMailCloud - Pro - Monthly: $2/GB/month
        3. Switching to usage-based pricing, and back again
          1. You may switch from quota-based to usage-based storage and back again at your convenience. 
          2. Included storage.  Storage included free with a mailbox switches with the mailbox, and is pooled with the mailboxes and archives of the other type, either usage-based or quota-based.
          3. Annual term extra storage.  When you purchase extra usage-based storage, you own it for the remainder of your term.  This means if you switch the mailbox back to quota-based storage after purchasing usage-based storage, you still still own the usage-based storage for the remainder of your current term.

      3. Blackberry (BES).  POP/IMAP from your Blackberry devices is free.  The following pricing is for native, automatic, over-the-air sync of not only email, but also tasks, contacts and calendar.  Requires Zimbra Mobile licensing (#2, above), and access to the BES network from your cell service provider.  Unlimited data plan recommended.  Read more about syncing Blackberry devices.         • Zimbra Cloud - Pro - Annual: $119.99/year per device.
        • Zimbra Cloud - Pro - Monthly: $12.99/month per device.
      4. Blackberry (NotifyLink).  POP/IMAP from your Blackberry devices is free.  This pricing is for automated, over-the-air sync of not only email, but also tasks, contacts and calendar.  Requires access to the internet from your cell service provider, and installation of NotifyLink software on each Blackberry device.  Unlimited data plan recommended.  Read more about syncing Blackberry devices.  No activation fees.
        • Zimbra Cloud - Pro - Monthly: $30/month per device.

    The wiki mailbox is provided free-of-additional-charge.

    Do not change, use nor delete the wiki mailbox, at risk of causing problems with your entire domain and Zimbra function.
